Summary of Position:
The Coordinator, Clinical Operations is responsible for coordinating the execution of directives put forth by the Clinical & Scientific Affairs department. This includes supporting the Product Development, R&D (Research & Development), RA/QA (Regulatory Affairs & Quality Assurance) through the lens of achieving the strategic corporate goals set for the Clinical Operations team by senior management

Examples of activities and responsibilities the Coordinator will be expected to conduct will include: general administrative duties, supporting the Manager, Clinical Operations in liaising with third-party stakeholders regarding product implementation and client training, product supply chain, ensuring compliance with industry standard regulatory and quality frameworks, product development and research initiatives, among others.

The Coordinator will report to the Manager, Clinical Operations, while working closely, and alongside the Research and Development, RA/QA, and Software Product Development Teams.

Essential Duties and Responsibilities:
• Support the Manager, Clinical Operations in client onboarding and support, product development, and research initiatives
• Client onboarding includes supply chain, logistics, receiving and installation
Product development assisting tasks may include coordinating design and development records and reporting, and feedback integration
• General administrative duties
• Liaising with third-party stakeholders in both the commercial and research realm
• Liaising with other VoxNeuro departments (E.g., Sales & Strategic Partnerships) to ensure client success
• Frequent travel (US & Canada) to client sites for product installation
• Operate in a compliant fashion, supporting the controlled processes and procedures across all areas of Clinical & Scientific Affairs (as per current ISO standard)
• Support the creation or reformation of aspects of VoxNeuro’s Quality Management System such as Quality System Procedures, Work Instructions, Forms, and other documents
• Ensuring PIPEDA, PHIPA and HIPAA policies are strictly followed
• Ensuring Clinical & Scientific Affairs’ teams follow VoxNeuro’s policies and procedures, both • QMS and non-QMS related as part of their daily duties
• Other duties as assigned

Authorities for Position:
• Conduct external communications to drive the coordination of Clinical Operations tasks
• Liaise with and help coordinate internal teams
• Assist in training clients
• Manage department metrics and Gantt chart reporting on a weekly basis
• Receive and escalate customer feedback
• Drive content development to support client success
• Manage QMS records
• Report non-compliances of the QMS or other regulatory standards to Management
• Assist in onboarding new team members in the Clinical & Scientific Affairs Department

Qualifications Required for Position:
• University degree or College Diploma in relevant field (e.g., Health Sciences)
• Experience in the Biotech, Research, or Medical academic and/or commercial space preferred
• Experience in customer care/customer service
• Experience in group instruction and leadership
• Patient interaction preferred
• Personable, with strong communication skills
• Strong organizational skills
• Team player, results-driven, with time-management skills who requires minimal supervision and has the ability to work with multiple projects under tight deadlines

Work Environment:
The work environment of the Coordinator, Clinical Operations will predominantly be made up of a mix of remote work and in the head office. In addition, the work environment will include destinations corresponding to VoxNeuro client locations. VoxNeuro client locations in question may be anywhere in Canada or the United States. International travel within North America will be frequent.
